Rental Policies and FAQs
Cancellation Policy
- Full refund if you cancel 45 days or more prior to arrival.
- No refunds with less than 45 days to arrival.
- For payments made by credit or debit card, a 3% processing fee may be deducted from refunds.
- No refunds for weather, road conditions, acts of God, pandemics, mechanical failures, or any health or personal reasons.
Trip cancellation insurance is highly recommended for full protection of your vacation investment. If you do not purchase it, you will be self-insuring your trip.
Payment Schedule
- First payment: 50% of the reservation total is due at booking. If paying by check or money order, your reservation will be held for 7 business days to allow for mailing time.
- Second payment: Remaining balance is due 30 days prior to arrival.
- Checks returned for non-sufficient funds will incur a $30 fee.
Arrival and Departure
Check-in is 4:00 PM Eastern Time or later. Check-out is by 10:00 AM Eastern Time. Early check-ins are typically not available during peak periods (holidays, spring break, summer, October). You may contact us after 1:00 PM on your arrival day to check cabin status; we will let you know if it is ready earlier than 4:00. Please text Kim Pate at 865-412-1204.
For check-out, refer to the laminated card on the refrigerator. Leave the house in broom-clean condition. Set thermostats to 75°F in summer and 65°F in winter. Lock and secure all doors and windows. Place trash in outside receptacles. Wash and return dishes to cupboards.
General Information and Policies
Smoking and Vaping
Any form of smoking or vaping is strictly prohibited inside the cabin. If smoke is detected, remediation costs will be charged. You may smoke outdoors on the deck; use provided buckets for cigarette butts.
Maximum Occupancy
Exceeding maximum occupancy is grounds for eviction. If more people are present than stated on the reservation and occupancy is exceeded, you risk eviction by the Sevier County Sheriff.
Visitors
All undeclared guests (not on the lease) must be approved in advance. As long as occupancy is not exceeded, visits are usually fine; we must ensure adequate parking and no neighborhood nuisance.
What We Provide
The rental is set up with towels and bed linens and a starter supply of toilet paper and paper towels. Hand soap, liquid dish soap, dishwasher detergent, and basic cleaning supplies are provided. After using the starter supplies, guests are responsible for purchasing additional items as needed.
Notification of Issues
If something is not operating correctly, appears damaged, or needs housekeeping attention, notify us promptly during your stay. We will make every attempt to resolve the issue as soon as possible. Contact: Kim Pate, 865-412-1204 (mobile).
Service Access
If a service call is required, you agree to provide access to the property and ensure pets are secured.
Utility Outages
If water or electricity experiences an outage longer than eight (8) hours, we will attempt to move your party to another cabin if available. If the outage continues or alternate accommodations are unavailable, we will refund the portion of your stay impacted by the outage.
Internet Service
High-speed internet is provided. If there is an outage beyond our control, no refunds or rate adjustments will be made. We will expedite service calls and replace equipment if needed.
Pet Stays
Dogs only (no puppies). Pet-friendly stays are offered at specific cabins and must be approved in advance with applicable fees paid. Unapproved animals risk eviction. Pick up after your pet and dispose of waste properly. Pets must be leashed when off premises per Sevier County Animal Control. Do not leave pets on the deck or tied outside while you are gone (ideally they should be crated). You agree to immediately pay for any pet-related damage.
Hot Tubs
Hot tubs are drained, cleaned, and refilled after each stay. The bromine floater is typically set to 4.
- Do not use the hot tub if pregnant or if extended time in hot water is unsafe for you. Supervise children at all times; never leave them unattended.
- Jewelry may discolor from hot tub chemicals.
- Shower before use if you have applied tanning oils or lotions. Do not allow pets in the hot tub and do not add bubble bath, soap, or similar products.
- Additional cleaning or foreign material in the water will result in labor charges.
Community Rules
Abide by community rules. Do not cause nuisances to neighbors through actions, noise, pets, or otherwise. You risk eviction if neighbors call the police to report nuisances. Respect permanent residents. House parties are not permitted and are cause for immediate eviction.
Theft or Loss of Property
You are solely responsible for personal items brought to the property. Secure valuables when away by placing them out of view, closing blinds, and locking doors. The property’s insurance does not cover items brought into the cabin. If away for a while, consider leaving a TV and an inside and outside light on so the house appears occupied.
Forgotten Items
If you believe you left an item behind, contact Kim Pate at 865-412-1204 as soon as possible. If housekeeping must make a special trip, a $25 service call fee plus shipping applies. Unclaimed items will be donated to a local charity.
Damage Waiver and Deposit
A $300 authorized hold is required as a damage deposit. It covers accidental damage up to $300 (labor and materials) such as stained sheets, torn quilt tops, gouged walls, broken dishes, or minor scratches on furniture. Costs exceeding $300 must be paid by the guest. Negligent or willful damage is not covered, nor is damage by pets. The booking guest is responsible for prompt payment of any repair or replacement costs exceeding $300. If reimbursement is not made within 15 days of notification, legal action may be filed in Sevier County General Sessions Court. Damage by pets (or guests) will be charged according to repair costs; a receipt will be provided.
Agreement
By booking online, you agree to all terms and conditions herein and agree to be financially responsible for any damage.
Minimum Age for Leaseholder
The responsible party who signs the lease must be at least 23 years of age. For a possible exception, contact 865-412-1204.
Indemnification
Guest agrees to indemnify and save lessor harmless from all liability, loss, or damage arising from any nuisance or harm made or suffered on the leased premises by the guest, tenants, or guests, or from any carelessness, neglect, or improper conduct of any persons entering, occupying, or visiting the leased premises.
